What is Event Planning

Event Planning or event management is simply the process of planning or co-ordinating and event. This includes budget, schedule, site selection, co-ordinate transport and parking, acquiring permits, arrange for entertainers and speakers, look for decor, security, Exhibition Management, catering, managing vendors and crisis management. It is an art of bringing together people and activities in order to create a show that makes memories in peoples mind. Designing and producing an event no matter what it is can be compared to directing a live stage performance. An event is a marketing tool to promote and communicate about you to an audience. Companies tend to collaborate and sponsor at events with the goal of marketing themselves among the people attending the event. For example, events focusing on advertising such as press conferences, promotional events, product launches can help certain companies promote themselves through banners and sponsorships. Event managers at times use traditional mediums such as news media so as to reach their target audience. Getting an good media coverage for the event is a prime objective of promoting their event because as we all know very well not everyone is acquainted with the other forms of promotion, but the newspaper is something that reaches everyone no matter what language they follow. But planning an event does not happen that easy. There are a lot of things that you need to keep in mind and be careful about while planning an event. Establish a Goal The very first step to plan an event is by establishing a goal and objective. For example why you are Exhibition Stall Designer this event and what do you hope to achieve from this. Organize a team You cannot do everything on your own. You need a team who will help you sale through the process of planning an event. Divide your team by giving each a separate job to take care of so that everything goes smoothly and simultaneously. Set a date Give yourself enough room to plan your event, probably four to six months time to organize and plan everything perfectly. Check your calendar for possible holidays. Try to avoid school vacations like summer and winter holidays. And last but most important, see that you check the dates with the participants of your event and see whether they are comfortable with the same. Brand your event. Common things do not attract anyone. Everyone likes variety and something different. The same applies to your event as well. While choosing a theme for your event and see that you come up with something unique and different. Brainstorm for unique names create an eye catching tag line logo for your event. Attractive taglines are always remembered by people. Create a Master plan Include all aspects of event planning in this one plan. See to it that you cover every little detail of the event in this plan. Divide everything into separate groups assign each to a team of two or three and see that they report every proceedings of the same to you at the right time so that you have a clear idea where you need more time and what is lagging behind. Identify and establish partnerships and sponsors. Include company’s who can partner with you and sponsor for your event because is is through these ways that your event will reach the general public. Also when you involve others in your event it helps in increasing your participation list. Create a publicity plan Even if you have the best in hand promoting your event is very important as it is the only way you can get people to come and attend your event. Choose the right medium to promote your event according to the audience you expect and the event type. See that you use all the possible mediums to reach out to every strata of the audience.
